Student Records

The Records and Registration Office processes your student records, transcripts, grades, ID cards and diplomas, as well as your class registration each quarter.

Unofficial transcripts and grades are available through WebAdvisor.

Transcripts
If you would like to receive an official transcript from Clark State, please send or fax a signed written letter or a signed transcript request form (PDF).

If you opt to use a written letter in lieu of our transcript form, your letter must include your name, address, phone number, Social Security Number or student ID number, former name(s) used at Clark State, dates of attendance, year of graduation, number of transcripts requested, credit card information and the institution and complete address receiving the transcripts. There is a $2 fee per transcript. Clark State accepts cash, check, money order, VISA, MasterCard, and Discover Card. Payment must accompany the transcript request. Fax requests require a credit card number and expiration date. Processing time for transcripts is two business days.

Grades
You may access your grades through WebAdvisor. If needed you may request an official copy of your grades (PDF) in the Records and Registration Office. Grades will not be released over the phone.

If you have a concern about a grade, you should discuss it with your instructor within five weeks after the end of the quarter. If the grade was for a Spring or Summer quarter class, you should discuss it with your instructor by the fifth week of Fall Quarter. If the problem is still not resolved, you may discuss it with the divisional dean and then the vice president of Academic and Student Affairs.

Student ID Cards
Student IDs are used for services at the Library, getting discounts at student athletic events, student access at the YMCA and discounts for some area restaurants. To obtain a Clark State student ID, you must be enrolled for the present quarter and present a picture ID. ID photos for new students are taken beginning the second week of each quarter. ID photos are taken anytime during regular office hours.

Update Your Information
If you have a change in your status such as name, address or major, please complete a Change of Information card online.

Enrollment Verification
As a service to students, letters of verification of current enrollment, expected graduation date, degree conferral, etc. are provided upon request and at no cost to students. If you would like to receive an enrollment verification from Clark State, please send a signed written letter or a signed enrollment verification request form (PDF) to:
